Users

The Users page is your team hub. From here you add and remove the people in your shop who log in to TimberCloud, give each one an access role that decides what they can see and do, and link outside customer logins to their customer accounts. This page covers seats and billing, the seven roles you start with, the invite flow, editing and removing people, and the registration settings that govern how new accounts are handled.

Availability: Build plan and up. On Free and Commerce a company is limited to a single user, so the dedicated Users page is a Build feature. See Subscriptions & Plans for the full ladder.

Seats by plan

Every plan includes a set number of team-member seats. When you add staff beyond your plan's included count, your subscription adjusts automatically and each extra seat is billed at $50 per user per month.

Note: Customer logins — people with the Customer role who shop your storefront or use the customer portal — do not count against your seat limit. Seats apply to internal staff accounts only. For how a seat change hits your bill, see Billing & Free Trial.

The seven roles you start with

Every new company is seeded with seven ready-made roles so you can put people to work immediately. You can use these as-is, retune their permissions, or add roles of your own. The full permission list and how to edit it lives on Roles & Permissions.

RoleWhat it's for
AdminFull access to every feature, all settings, roles, and billing. At least one Admin must always exist. Give this only to the few people who genuinely run the account.
ManagementBroad day-to-day management. Excludes the truly sensitive controls — managing roles, the subscription, and the company profile; refunds; user management; order settings; deleting customers; archiving/overriding/duplicating orders; reviews; and viewing a customer's overall financials.
EmployeeGeneral operational access with limited create/delete. A good default for office staff who work orders and customers but shouldn't reach settings, reports, purchasing, refunds, or customer financials.
SalesSales-focused, scoped to the rep's own work. Keeps customer and order creation and the ability to see prices, but not delete actions, settings, reports, refunds, or customer financials.
ShopShop-floor access. Can create and edit orders, post payments, see prices, use the AI assistant, and view the orders dashboard — but not refunds, settings, or reports.
DriverDelivery-oriented. Starts from the same access as Shop; retune it for your dispatch and delivery crew.
CustomerAn external login tied to a customer account, used by your customers to place and track orders through the storefront and customer portal. Customer logins never use a team seat.

Tip: Follow least privilege — give each person the smallest role their job needs, and reserve Admin for true account managers. You can fine-tune any of these roles, or build new ones, on Roles & Permissions.

The Users page at a glance

Open Users from the left sidebar to see everyone associated with your company.

Summary cards

Four cards across the top give you a quick headcount:

  • Total Users — every account in your company.
  • Admins — people with the Admin role.
  • Customers — external Customer-role logins.
  • Active — people who have confirmed their account.

Search and filter

Below the cards, a filter bar helps you find anyone fast:

  • Search — type a name or email to narrow the list as you type.
  • Role filter — chips (All, plus one per role in use) limit the list to a single role.
  • Result count — shows how many people match your search and filter.

The list is paginated, with a page-size selector (10 / 25 / 50 / 100 per page).

The user list

Each row shows:

What the statuses mean

  • Active — the person has set their password and can log in normally.
  • Inactive — the account exists but hasn't been activated yet (they haven't used their set-password link).
  • Pending — the person submitted a customer claim awaiting review.
  • Denied — the person's customer claim was denied.

Adding a user

  1. Click Add User in the top-right of the Users page.
  2. Fill in their details:

TimberCloud emails the new person a secure link to set their own password. You never type or share a password. Until they use that link, their account stays Inactive and they can't sign in — so no temporary password ever exists to leak or reset.

Important: Adding a team member beyond your plan's included seats adjusts your subscription and adds a $50/user/month charge per extra seat. If you're at your limit and want a bigger team for the same price, consider upgrading the plan instead — see Subscriptions & Plans.

Linking a Customer login

When you choose the Customer role, a Customer field appears so you can tie the login to a customer account:

  1. Role — choose Customer.
  2. Customer — pick the customer account to link.
  3. Fill in the name and email, then Save Changes.

Note: The customer account must already exist before you can link a login to it. Create it first in Customers, then add the user.

A linked Customer login lets that person view their order history, place new orders, track existing ones, and manage their account through the storefront and customer portal — without ever consuming a seat.

Editing a user

  1. Click the Edit (pencil) button in the Actions column.
  2. Change what you need:
    • Role — switch the person's access role.
    • Customer account — for Customer logins, change which customer they're linked to (or clear it).

Note: A person's name and email are fixed after creation and can't be edited here — only their role (and, for Customer logins, their linked customer) can change.

The "at least one Admin" guard

TimberCloud always keeps at least one Admin so you can never lock yourself out:

  • If a user is the only Admin, their role can't be changed — the role picker is locked.
  • You'll see "Cannot change role: At least one admin must remain."
  • Promote someone else to Admin first, then change the original Admin's role.

Removing a user

  1. Click the Remove (trash) button in the Actions column.
  2. Confirm in the dialog.
  3. The person is removed from your company's list, and their access ends immediately.

You cannot remove the last remaining Admin — promote another person to Admin first. If someone you remove also belongs to other companies, their overall account stays active for those companies.

Note: Removing a team member you were paying for as an extra seat reduces your subscription accordingly. See Billing & Free Trial.

Registration settings

You control how outside people create accounts from Settings → Company, in the New User Registration section:

Automatically Approve UsersWhen on, a self-registration that matches an existing customer is linked automatically. When off, that match becomes a claim an Admin must approve.

When auto-approval is off, review incoming requests on the Customer Claims page.

Best practices

  1. Right-size every role — give the least access each job needs; reserve Admin for real account managers.
  2. Keep two or three Admins — enough to avoid lockout, few enough to stay secure.
  3. Audit regularly — remove people who've left so you're not paying for idle seats.
  4. Name customer accounts clearly — link Customer logins to well-labeled customer records.
