Before creating purchase orders, establish your vendor database:
- Add vendor contact information
- Configure default payment terms
- Set tax rates and currency preferences
- Define lead times for planning
Step 2: Create Purchase Orders
Generate purchase orders when inventory needs replenishment:
- Select a vendor and destination location
- Add line items (catalog items, add-ons, or custom items)
- Review pricing, taxes, and freight
- Submit for approval
Step 3: Approve and Send
Once a PO is created:
- Review the order details
- Approve or reject with notes
- System automatically emails the vendor with PDF attachment
- PO status updates to "Sent"
Step 4: Receive Goods
When shipments arrive:
- Create a receipt against the PO
- Enter quantities received
- Note any rejected items with reasons
- Post the receipt to update inventory
Step 5: Audit and Verify
Maintain accuracy with regular audits:
- Schedule inventory counts
- Reconcile PO and receipt discrepancies
- Document findings and corrective actions
Quick Start
Creating Your First Vendor
- Go to Purchasing → Vendors
- Click + New Vendor
- Enter vendor name and contact details
- Set payment terms (Net 30, COD, Prepaid)
- Configure tax rate and default currency
- Save the vendor
Creating Your First Purchase Order
- Go to Purchasing → Purchase Orders
- Click + New Purchase Order
- Select a vendor from the dropdown
- Choose the receiving location
- Add line items using the item selector
- Review totals and submit
Receiving Your First Shipment
- Go to Purchasing → Receipts
- Click + New Receipt
- Select the associated purchase order
- Verify quantities received
- Post the receipt to update inventory
Status Workflows
Purchase Order Status
| Status | Description |
|---|---|
| Draft | Order is being prepared, not yet submitted |
| Unsent | Order is ready but hasn't been sent to vendor |
| Sent | Order has been approved and emailed to vendor |
| Partially Received | Some items have been received |
| Fully Received | All ordered items have been received |
| Closed | Order is complete and archived |
| Cancelled | Order was cancelled before fulfillment |
Receipt Status

| Draft | Receipt is being entered, inventory not yet updated |
| Posted | Receipt has been confirmed, inventory updated |
| Adjusted | Receipt was modified after posting |
| Void | Receipt was cancelled and inventory adjustments reversed |

Permissions
Access to purchasing features is controlled by user permissions:
- purchasing-page: Access to the Purchasing module
- Individual feature access can be configured per user or role
