Archive Product
Archiving removes products from active listings while preserving historical data. Use archiving instead of deleting to maintain order history integrity.
Why Archive Instead of Delete?
Deleting products causes problems:
| Issue | Impact |
|---|---|
| Broken order history | Past orders lose product references |
| Missing reports | Sales data becomes incomplete |
| Audit gaps | Financial records may be affected |
Archiving solves these problems by hiding the product while keeping all data intact.
What Archiving Does
Hidden From
| Area | Archived Products |
|---|---|
| Product list | Hidden by default |
| Customer shop | Not visible |
| New orders | Cannot be added |
| Category listings | Removed |
Still Available
| Area | Archived Products |
|---|---|
| Order history | Fully preserved |
| Search results | Searchable by name |
| Reports | Included in historical data |
| Financial records | Complete history |

- Product returns to active listings
What Happens When You Unarchive

- Returns to category listings
Archived Product Indicators
Archived products display visual indicators:
| Location | Indicator |
|---|---|
| Product grid | Red "Archived" badge |
| Product page | Archive status banner |
| Search results | Archived tag |
These indicators help prevent accidental use of archived products.
Use Cases
Discontinued Products
When you no longer offer a product:
- Archive instead of delete
- Historical orders remain intact
- Product data preserved for reference
Seasonal Products
For products available only at certain times:
- Archive when out of season
- Unarchive when back in season
- Avoid recreating the product each year
Testing Products
For products created during testing:
- Archive after testing complete
- Keep for reference or future testing
- Easily restore if needed
Replaced Products
When launching an updated version:
- Archive the old version
- Keep both for historical reference
- Orders clearly show which version was purchased
Best Practices
Before Archiving
- Complete pending orders - Finish any orders in progress
- Notify team members - Let production staff know
- Update related products - Check for dependencies
- Document the reason - Add a note to the description
Archive vs. Hide
| Need | Action |
|---|---|
| Temporarily hide from customers | Toggle "Enable for Customer" off |
| Permanently remove from catalog | Archive the product |
| Remove from internal use too | Archive the product |
Organization
- Periodically review archived products
- Clean up test products
- Keep descriptions updated with archive reasons
Impact on Reports
Archived products affect reporting as follows:
| Report Type | Archived Products |
|---|---|
| Sales history | Included |
| Current inventory | Excluded |
| Product performance | Shows historical data |
| Active product count | Not counted |
Historical accuracy is maintained while active metrics remain clean.
Troubleshooting
Can't Find Archived Product
- Use the search function
- Enable "Show Archived" filter
- Check for typos in product name
- Verify you have view permissions

This is expected behavior:
- Historical orders preserve the product reference

Simply unarchive the product:
- Find via search
- Open the product
- Click "Unarchive"
- Product is restored immediately
