Inventory Receiving
Note: Inventory Receiving requires a Professional plan subscription, as purchasing features are only available on Professional and above.
The Inventory Receiving feature allows you to receive purchase orders directly from the warehouse floor using your mobile device. Update inventory in real-time as materials arrive without returning to a computer.
Overview
Mobile inventory receiving enables warehouse workers to:
- View pending purchase orders awaiting materials
- Receive items line-by-line with quantity controls
- Create receipts for received goods
- Track receiving progress visually
- Update inventory levels instantly
Accessing Inventory Receiving
From the Home dashboard:
- Tap the Receive Inventory quick action button, or
- Open the drawer menu and tap Receive Inventory
The Home dashboard also shows a Pending Receiving alert card when you have purchase orders awaiting materials.
Purchase Order List
The receiving screen shows your purchase orders organized in two tabs:
Pending Receiving Tab
Shows purchase orders that have items waiting to be received:
- Sent — PO sent to supplier, awaiting delivery
- Partially Received — Some items received, more expected
All POs Tab
Shows all purchase orders including:
- Pending — Not yet sent to supplier
- Sent — Awaiting delivery
- Partially Received — Partially fulfilled
- Fully Received — Complete
- Cancelled — Cancelled orders
Purchase Order Cards
Each PO card displays:

Tap a card to open the PO detail screen for receiving.
Searching Purchase Orders
Use the search bar at the top to filter POs by:
- PO number
- Supplier/vendor name
Search results update as you type.
Receiving Process
Step 1: Select a Purchase Order
- Navigate to the Pending Receiving tab
- Find the PO you're receiving materials for
- Tap the PO card to open details
Step 2: Review PO Details
The detail screen shows:
- Header information — PO number, supplier, status, expected date
- Line items — Each item on the PO with:
- Product name and SKU
- Ordered quantity
- Previously received quantity
- Remaining quantity to receive
Step 3: Enter Received Quantities
For each line item you're receiving:

Use the quantity controls:
- Tap + to increase the quantity
- Tap - to decrease the quantity
- The quantity cannot exceed the remaining amount

Or tap the quantity field to enter a specific number
Step 4: Quick Actions
Two quick action buttons help speed up receiving:
- Receive All — Sets all items to their maximum receivable quantity
- Clear All — Resets all quantities to zero
Step 5: Create Receipt
Once you've entered quantities for received items:
- Review the quantities entered
- Tap Create Receipt
- Confirm when prompted
- The receipt is created and inventory is updated
Quantity Controls
The receiving interface provides intuitive quantity controls:
Increment/Decrement Buttons
- + Button — Increases quantity by 1
- - Button — Decreases quantity by 1 (minimum 0)
Direct Entry
Tap the quantity field to enter a specific number using the keyboard.
Validation
- Maximum quantity = Ordered quantity - Previously received quantity
- You cannot receive more than what remains on the PO
- The app prevents over-receiving with validation messages
Progress Tracking
Line Item Progress
Each line item shows:
- Ordered: Total quantity ordered
- Received: Quantity already received (from previous receipts)
- Remaining: Quantity still to receive
- This Receipt: Quantity you're entering now
Overall PO Progress
The PO header shows overall progress:
- Progress bar fills as items are received
- Fraction display (e.g., "7/10 items received")
- Status updates automatically:
- Partially Received — When some items have been received
- Fully Received — When all items are received
After Creating a Receipt
When you create a receipt:
- Inventory is updated — Stock levels increase for received items
- PO status updates — Reflects the new receiving progress
- Receipt is recorded — Available in web app for audit purposes
- You return to the PO list — Continue with other POs
Workflow Example
A typical receiving workflow:
- Delivery arrives at the warehouse
- Open the TimberCloud mobile app
- Go to Receive Inventory
- Find the matching PO by number or supplier
- Tap to open the PO
- Check items against the physical delivery
- Enter quantities for items received
- Tap Create Receipt
- Confirm and continue with next delivery
Partial Receiving
You don't need to receive all items at once:
- Enter quantities only for items you've physically received
- Create the receipt
- The PO status changes to "Partially Received"
- Return later to receive remaining items
- Multiple receipts can be created against one PO
Tips for Efficient Receiving
Before Receiving
- Check expected deliveries on the Pending Receiving tab
- Verify the supplier and PO number match the delivery paperwork
- Have the packing slip ready for comparison
During Receiving
- Count items carefully before entering quantities
- Use Receive All for complete deliveries, then adjust if needed
- Note any discrepancies with the supplier
After Receiving
- Review receipts in the web app for complete records
- Follow up on short shipments with suppliers
- Check inventory levels to confirm updates
Troubleshooting
PO not appearing
- Check your location filter — POs are filtered by location
- Verify the PO status — only Sent and Partially Received appear in Pending
- Try the "All POs" tab to see all orders
- Refresh the list by pulling down
Cannot enter quantity
- Check you haven't exceeded the remaining quantity
- Ensure the item has quantity remaining to receive
- Verify you're on the correct PO
Receipt creation failed
- Check your internet connection
- Ensure at least one item has a quantity entered
- Try again — the app will retry on failure
Inventory not updated
- Give the system a moment to sync
- Check the web app to verify the receipt was created
- Contact support if the issue persists
