Delivery Tracking

The Delivery Tracking feature enables you to manage shipments and deliveries from anywhere. Add tracking numbers, mark orders as shipped or delivered, and keep customers informed about their orders.

Overview

Mobile delivery tracking allows shipping staff to:

  • View orders ready to ship
  • Add tracking numbers with carrier selection
  • Mark orders as shipped or delivered
  • Copy tracking numbers for quick sharing
  • Track shipment progress

Accessing Delivery Tracking

From the Home dashboard:

  1. Tap the Deliveries quick action button, or
  2. Open the drawer menu and tap Deliveries

The Home dashboard shows a Ready to Ship count card indicating orders awaiting shipment.


Delivery List

The deliveries screen organizes orders in three tabs:

Ready to Ship Tab

Orders that have completed production/QC and are waiting to be shipped.

Shipped Tab

Orders that have been marked as shipped with tracking information.

All Tab

All orders in shipping-related statuses.


Order Cards

Each order card displays:

Status Colors

  • Blue — Ready to Ship
  • Purple — Shipped
  • Green — Delivered
  • Gray — Other statuses

Searching Orders

Use the search bar to filter orders by:

  • Order number
  • Customer name

Results update as you type.


Delivery Detail Screen

Tap an order card to view full details:

Order Information

  • Order number and customer name
  • Current status
  • Location
  • Key dates (ordered, shipped, due)

Line Items Summary

Shows the total number of items on the order.

Tracking Numbers Section

Displays existing tracking numbers with:

  • Tracking number
  • Carrier name
  • Copy button for each number

Actions

Available actions depend on the order's current status.


Adding Tracking Numbers

Step 1: Open the Order

Navigate to the delivery detail screen for the order.

Step 2: Add Tracking

  1. Tap Add Tracking Number
  2. Select the carrier from the list:
    • UPS
    • FedEx
    • USPS
    • DHL
    • OnTrac
    • LaserShip
    • Other
  3. Enter the tracking number
  4. Tap Save or Add

Step 3: Add More (Optional)

For split shipments, repeat the process to add multiple tracking numbers.


Supported Carriers

The app supports these carriers for tracking:

Selecting the correct carrier ensures proper tracking link generation.


Copying Tracking Numbers

To quickly share a tracking number:

  1. Open the order detail
  2. Find the tracking number in the list
  3. Tap the copy icon next to the number
  4. The number is copied to your clipboard
  5. Paste into messages, emails, or other apps

Marking Orders Shipped

Once an order has been shipped:

  1. Open the order detail
  2. Ensure tracking numbers are added (recommended)
  3. Tap Mark as Shipped
  4. Confirm when prompted
  5. Order status updates to "Shipped"

What Happens

  • Order status changes to Shipped
  • Customer may receive a shipping notification (if configured)
  • Order moves to the Shipped tab
  • Shipping date is recorded

Marking Orders Delivered

When delivery is confirmed:

  1. Open the order detail
  2. Tap Mark as Delivered
  3. Confirm when prompted
  4. Order status updates to "Delivered"

What Happens

  • Order status changes to Delivered
  • Customer may receive a delivery notification (if configured)
  • Delivery date is recorded
  • Order moves to completed status

Workflow Examples

Standard Shipping Workflow

  1. Order completes QC — Appears in Ready to Ship
  2. Pack the order — Prepare for shipment
  3. Get tracking number — From carrier label/system
  4. Add tracking — Enter number in app
  5. Mark as Shipped — Update status
  6. Delivery confirmed — Mark as Delivered

Same-Day Shipping

For orders shipping immediately after QC:

  1. Open DeliveriesReady to Ship
  2. Find the order
  3. Add tracking number
  4. Mark as Shipped
  5. Continue to next order

Bulk Shipments

When shipping multiple orders:

  1. Process each order individually
  2. Use search to find specific orders quickly
  3. Add tracking and mark shipped for each

Split Shipments

For orders shipped in multiple packages:

  1. Open the order detail
  2. Add the first tracking number
  3. Tap Add Tracking Number again
  4. Add the second tracking number
  5. Repeat for additional packages
  6. Mark as Shipped when all packages are sent

All tracking numbers are associated with the order and visible to customers.


Tips for Efficient Shipping

Before Shipping

  • Check Ready to Ship count on Home dashboard
  • Prioritize by due date or customer
  • Have carrier labels/tracking ready

During Shipping

  • Add tracking numbers as you get them
  • Use the copy feature to share tracking quickly
  • Mark shipped immediately after handoff to carrier

After Shipping

  • Monitor Shipped tab for pending deliveries
  • Mark delivered when confirmed
  • Follow up on delayed shipments

Troubleshooting

Order not in Ready to Ship

  • Order may still be in production or QC
  • Check the "All" tab to see current status
  • Verify your location filter

Cannot add tracking number

  • Check your internet connection
  • Ensure you have shipping permissions
  • Verify the order is in a shippable status

Mark as Shipped not working

  • Check your internet connection
  • Verify you have permission to update shipping
  • Try refreshing the order detail

Tracking number not saving

  • Ensure carrier is selected
  • Verify the tracking number format
  • Check your internet connection

Customer Notifications

When you update shipping status, customers may receive notifications:

Notification settings are configured in your web app under Settings → Orders.


Tracking Links

When customers receive tracking numbers, they get clickable links based on the carrier:

  • UPS → ups.com tracking
  • FedEx → fedex.com tracking
  • USPS → usps.com tracking
  • DHL → dhl.com tracking
  • OnTrac → ontrac.com tracking
  • LaserShip → lasership.com tracking
  • Other → Generic tracking search

Ensure you select the correct carrier for proper link generation.
