Adding & Monitoring Tracking Numbers

Not every shipment goes through TimberCloud's booking. When you ship on your own FedEx or UPS account, hand a freight carrier a Bill of Lading directly, or drop a package at the post office, you can still get unified, automatic tracking — just paste the tracking number onto the order and TimberCloud monitors it through the same network as booked shipments.

When to use this

Use Add Tracking Number whenever a shipment exists that TimberCloud didn't book:

  • You shipped on your own carrier account (your FedEx, UPS, USPS, or DHL account).
  • You arranged LTL freight directly with a carrier.
  • Someone shipped it outside the system and you want the order to track and auto-complete anyway.

If TimberCloud booked the shipment, the tracking number is added for you automatically — you don't need this. See Booking & Labels.

Adding a tracking number

  1. Open the order.
  2. Go to the Shipping tab and find the Tracking Numbers section.
  3. Click Add Tracking Number.
  4. Fill in the fields:

  1. Click Save. TimberCloud starts monitoring the number right away.

Carriers you can choose

The carrier dropdown covers small parcel and major LTL freight lines, plus Auto-detect and Other:

  • Parcel: UPS, FedEx, USPS, DHL
  • LTL freight: ABF Freight, Old Dominion, XPO Logistics, YRC Freight, Estes Express, R+L Carriers, Southeastern Freight Lines, Central Transport, Dayton Freight, Averitt Express, Pitt Ohio
  • Auto-detect (recommended if you're unsure) and Other

Tip: Auto-detect works for most parcel numbers. For freight, choosing the specific carrier helps the network resolve status faster.

What happens next

Once added, a manually entered tracking number behaves exactly like one from a booked shipment:

  • Automatic status — the network polls about every 15 minutes and pushes carrier scans in real time. The Shipping tab also refreshes about every 60 seconds while it's open.
  • Full history — expand a tracking number to see its scan timeline (status, location, and time for each event).
  • Auto-Delivered — when every tracking number on the order reports delivered, the order advances to Delivered and records the delivery date, just like booked shipments.
  • Resync on demand — click Resync on any number to pull its latest status immediately.

Managing tracking numbers

  • Multiple numbers — add as many as the order needs; the order isn't marked delivered until they all are.
  • Track — opens the carrier's own tracking page for that number.
  • Remove — deletes a tracking number from the order (with a confirmation prompt).
