From Design to Order
Designing a kitchen is only useful if it becomes a real order. The Quote & share panel gives you two ways to do that — Create Order and Send Quote to Customer — plus a way to attach per-job fees and sold windows. This page explains both paths, what carries onto the order, and where designer-sourced orders show up in your reports.
Availability: Build plan and up (Designer is badged Beta and needs the designer-page permission).
Both actions live in the Quote & share panel, under Deliverables.
Create Order vs Send Quote
| Create Order | Send Quote to Customer | |
|---|---|---|
| What it does | Turns the design into a real order and links it | Creates the order and generates a Design Quote invoice and emails it |
| Customer requirement | A customer helps (fields prefill), but email isn't required | Requires a customer with an email address |
| Best when | You'll present or send the quote yourself | You want the customer to receive the quote immediately |
What both paths do to the design and order
When you commit a design:
- The design becomes a real order.
- The design revision is frozen and linked to that order, so the order always reflects exactly what was quoted — later edits to the design don't silently change the placed order.
- The customer chosen in the designer's top bar is carried onto the order.
- Server-side, the order is prefilled from that customer: shipping address, billing address, payment terms, and discount all come across automatically, so you're not re-keying what you already know.
Note: Assign the customer before you commit — use the customer picker in the designer's top bar (or the picker inside the Quote & share panel). That single choice drives both the order's customer and all the prefilled fields.
Send Quote: what happens on a partial failure
"Send quote to customer" does several things in one click: create the order, build the Design Quote, and email it. If any step fails, it tells you exactly how far it got — for example "order created, but the quote wasn't emailed" — and directs you to resend from the order page rather than clicking again. That prevents you from accidentally creating a second duplicate order by retrying.
Important: Send Quote needs a customer with an email. If your customer has no email on file, add one first, or use Create Order and send the quote from the order page once you've filled in their contact details.
Is the quote auto-approved?
Whether the resulting quote is auto-approved follows your shop's existing auto-approve internal quotes setting — the Designer doesn't decide this on its own. If your shop auto-approves internal quotes, the design's quote comes through approved; if not, it lands as a pending quote for someone to accept. This keeps designer-sourced orders behaving exactly like the rest of your quoting workflow.
Per-job fees and sold windows ride onto the order
Before you commit, the Quote & share panel lets you attach charges that become order add-ons on the resulting order:
Job fees
Add flat, one-off job fees — a delivery charge, a design fee, an install trip — each with a name and an amount. These apply to the whole job (not per cabinet) and appear on the quote/invoice as add-on lines, just like any other order add-on.
Sold / installed windows
Windows you placed in the design and marked as sold or installed also become order add-ons automatically — typically a purchased-window charge plus an install-labor charge. They show up on the customer document alongside your job fees.
Tip: Job fees and window charges behave like ordinary order add-ons once they're on the order — you can review and adjust them from the order screen if something changes.
The quote renders as a room table
When a designed room becomes an order, its Design Quote / invoice doesn't use the generic line-item table. Instead it renders the kitchen as an overview room table, grouped by room, so the customer reads a kitchen quote — organized by room and cabinet — rather than a long, flat list of individual parts. This is automatic for designer-sourced orders; you don't configure anything.
Find designer-sourced orders in Reports
Orders created from the Designer are tagged as designer-sourced, and there's a dedicated report for them:
- Reports → Designer Jobs lists only the orders that came from the Designer, with the order, customer, PO, status, station, products, created date, and net/tax/total. It has search and a status filter, and each row links straight into the order.
Availability: The Designer Jobs report is part of Reports — Build plan and up. See Designer Jobs report.
From design to order at a glance
- In the designer, assign the customer (top-bar picker).
- Assign materials so the room is priced (see Pricing a design).
- Add any job fees and mark sold windows in the Quote & share panel.
- Choose Create Order (you'll send the quote yourself) or Send Quote to Customer (emails it now).
- The design revision freezes and links to the order; the quote follows your auto-approve setting.
- Track it later under Reports → Designer Jobs.
