Working with Reports

Most reports in TimberCloud share the same set of controls in the filter toolbar: a date range, saveable Presets, an Include Archived toggle on order-based reports, a location selector for multi-location shops, and export buttons. Learn them once here and they work the same across Financial Overview, Sales, Transactions, Purchasing, Customer, and Status. The Designer Jobs report is the exception — it's a stripped-down order list with only a search box and a status filter, so the toolbar controls below don't apply to it.

Availability: Reports are a Build plan feature. On Free and Commerce, opening Reports shows an upgrade prompt instead of the dashboards. See Subscriptions & Plans.

The date range

Almost every report opens showing today's data. Set a start and end date to widen the window — a week for a quick check-in, a month for a close, or a full year to spot seasonal patterns.

Each report is smart about which date it filters on. The Status report, for example, switches the date field to match the status you picked (created date for quotes, ship date for shipped orders, and so on) so the range always applies to the milestone you care about. Presets — save your favorite views

The Presets button (bookmark icon) in the filter toolbar is the biggest time-saver in Reports. Instead of re-picking the same date range, filters, columns and sort every time, save them once under a name and reload them in a single click.

Presets are available on the Financial Overview, Sales, Transactions, Purchasing, Customer and Status reports.

Saving a preset

  1. Set up the report the way you like it — date range, filters, chosen columns and sort order.
  2. Open the Presets dropdown and choose Save current as preset....
  3. Give it a name (for example, "This month — orders only" or "Late jobs, Shop 2") and click Save.

Applying a preset

Open the Presets dropdown and click a saved preset's name. The report re-applies its whole view instantly. Relative ranges like "today" are recalculated as of now, so a "This week" preset always shows the current week — not the week you saved it in.

Updating a preset ("Save changes")

Once you've loaded a preset, tweak anything — change the date range, toggle a column, re-sort a table — and a green Save changes button appears next to the Presets button (with a small amber dot on the button itself). Click it to fold your edits back into that preset. The preset's row also shows a Modified tag until you save.

Tip: Use + Save as new preset... inside the dropdown if you want to keep the original and branch off a variant, rather than overwriting it.

Deleting a preset

Open the dropdown and click the trash icon next to any preset.

Note: Presets are stored in your browser, per report, and are personal to you — they're not shared with teammates and don't sync across devices. Signing out does not erase them.

Include Archived

Order-based reports (Sales, Customer and Status) hide archived orders by default. Turn on the Include Archived toggle to pull archived orders back into both the on-screen figures and the exported PDF — useful when you're reconciling a full historical period rather than looking at active work.

Location selector (multi-location shops)

If your company runs more than one location, the Financial Overview, Sales, Purchasing and Status reports show a location selector in the header. Choose All Locations for a combined view, or drill into a single location to compare performance site by site.

Availability: Multi-location (multi-warehouse) is a Production feature. Single-location companies don't see this selector at all — there's nothing to choose between. See Locations.

Exporting a report

PDF (every report)

The six main reports (Financial Overview, Sales, Transactions, Purchasing, Customer, Status) each have a Generate PDF Report button that produces a clean, branded PDF of the current view — summary figures, tables and charts, with your date range and active filters noted. It's the version you hand to an accountant, a partner, or file for your records. (Designer Jobs has no PDF export.)

Excel / CSV (data-heavy reports)

The Financial Overview, Sales, Purchasing and Customer reports also offer Download Excel — a multi-sheet workbook of the underlying data (products, vendors, day-by-day trends, status breakdowns) so you can pivot and analyze it yourself. The Status report exports its filtered rows to CSV using whichever columns you've enabled, and the Transactions report's "Download Excel" button also produces a CSV file.

Price masking — hiding financials from some roles

TimberCloud lets you give shop-floor staff access to the pipeline without exposing money. If a team member's role does not include the View Prices permission, every dollar figure they see across the app — order totals, line prices, and the money columns in reports — is replaced by a dash (—) instead of an amount.

This is automatic and based on the signed-in user's role, so a builder can open the Status or Designer Jobs report to see what's at their station and what's due, while net totals, tax and totals stay masked. Anyone whose role includes View Prices sees the real numbers.

Note: View Prices is a per-role permission you manage under Users & Roles. It's separate from whether a user can open Reports at all (that's the Reports permission plus the Build plan).

Refreshing

Most reports have a Refresh button to reload their data if you've made changes elsewhere (placed an order, logged a payment, received a PO) and want the latest figures without leaving the page.
