AI Order Assistant

The AI Order Assistant turns a customer's paperwork into a ready-to-review order. Upload a blueprint, PDF, spreadsheet, photo, or CAD drawing, and the AI reads it, extracts the dimensions, materials, and quantities, matches what it finds to products in your catalog, and builds out the line items for you to review and finalize.

What it does

When you point the AI Order Assistant at a document, it works to:

• Extract specifications — dimensions, materials, finishes, quantities, and other details from the file.
• Match to your catalog — line up what it finds against your specific products, attributes, and options.
• Build line items — produce a set of products with options and measurements already filled in, ready to drop into a new order.
• Respect your setup — it uses your catalog, your configured attributes/options, and your measurement preferences (Imperial or Metric) so the results fit how you sell.

The goal is to collapse hours of hand-keying every order into about a minute of review. Nothing is added to an order until you review and confirm it.

Where to find it

The AI Order Assistant lives on the order creation screen, not in a separate settings page:

1. Go to Orders → New Order.
2. On the products panel, click the AI Assistant button.
3. Upload a file, optionally add instructions, run the analysis, review the results, and click Add Products to Order.

Availability

The AI Order Assistant is included with your plan — it is not a separately-billed add-on and there is no per-document fee.

• Plan: included starting with the Commerce plan and on every higher paid plan (Build, Production, Enterprise). It is not available on the Free plan.
• Trial: the 14-day trial is a full-feature trial of a paid plan, so the AI Order Assistant is available during the trial.
• Role permission: in addition to the plan entitlement, the user running the assistant needs the appropriate role permission. An administrator can grant this in Settings → Company → Permissions.

Note: You do not "enable" or "turn on" AI in a settings toggle, and there are no extra billing terms to accept. If your company is on the Commerce plan or higher and your role has the right permission, the AI Assistant button appears on the New Order screen automatically.

Supported file types

Tip: For CAD drawings, DXF files give the most reliable extraction. If you work in DWG, you can upload it directly — but if a particular DWG drawing doesn't extract cleanly, exporting it to DXF first is a good fallback.

For best results on scanned documents and photos, use clear, high-resolution images where text and numbers are easy to read, and include units of measurement where you can. Multi-page documents are analyzed page by page, and printed text generally reads more accurately than handwriting.

Guiding the AI with instructions

You have two ways to steer the AI toward more accurate matches:

• Per-upload Analysis Instructions — when you run an analysis you can add a short note for that file, such as "Material is oak hardwood," "Focus on framing dimensions," or "Extract only cabinet measurements." These apply to that one document.
• Global AI Instructions — a company-wide guidance prompt that applies to every AI analysis. Use it to teach the AI your terminology, product naming, and defaults (for example, how your shop refers to certain profiles or materials). Set it in Settings → Catalog → AI Settings.

The two are combined when an analysis runs, so global instructions provide the baseline and per-upload instructions add file-specific context. See AI Settings for details on writing an effective global prompt.

Reviewing and editing results

After the AI finishes, it presents the products and line items it found as cards. Nothing is committed yet — this is your chance to correct anything before it touches the order. You can:

• Replace a product match with a different product from your catalog.
• Adjust line items — edit dimensions, quantities, options, and other values.
• Flag and remove items that shouldn't be included.
• Drag and drop to reorganize products and move line items between products.
• Add products from your catalog that the AI may have missed.

When the results look right, click Add Products to Order to insert everything into the order form, where you can finalize options, pricing, and the rest of the order as usual.

Tips for the best results

• Keep your product catalog and attributes up to date — the AI can only match to what exists in your catalog.
• Use the Global AI Instructions to encode terminology and mappings your shop uses repeatedly.
• Add per-upload instructions for complex or ambiguous documents.
• Always review the suggested products and line items before adding them to an order; the assistant is a starting point, not a final answer.

Privacy

Your documents are processed for your company only and on a per-request basis. Document content is not used to train AI models, and each company's data stays isolated from every other tenant on the platform.
