AI Features

TimberCloud includes an AI-powered Quote Generator that automatically analyzes documents such as blueprints, technical drawings, and spreadsheets to extract product information and create orders faster.

Overview

The AI Quote Generator uses advanced computer vision and document analysis (powered by OpenAI GPT-4) to:

  • Extract dimensions, quantities, and specifications from documents
  • Match detected items to products in your catalog
  • Suggest product configurations based on your company's product attributes
  • Generate line items ready to add to an order

Enabling AI Features

AI features are a premium add-on that can be enabled from your company settings:

  1. Navigate to Settings → Company → General
  2. Find the AI Quote Generator toggle
  3. Enable the feature and accept the additional billing terms

Note: AI features are not available during the trial period. You must have an active paid subscription to enable the AI Quote Generator.

Access Permissions

To use AI features, users must have the AI Assistant permission assigned to their role. Administrators can configure this in the user permissions settings.

Supported Document Types

The AI Quote Generator can analyze the following file formats:

Important: DWG files are not currently supported. Please convert DWG files to DXF format before uploading.

How It Works

1. Upload Your Document

From the order creation page, click the AI Assistant button to open the upload modal. You can:

  • Drag and drop files directly into the upload area
  • Click to browse and select files
  • Upload files up to 10MB in size

2. Add Analysis Instructions (Optional)

You can provide additional context to help the AI understand your document better. For example:

  • "Focus on framing dimensions"
  • "Material is oak hardwood"
  • "Extract only cabinet measurements"

These instructions help improve the accuracy of product recommendations.

3. AI Processing

Once uploaded, the AI will:

  1. Analyze the document type and content
  2. Extract text, dimensions, and specifications
  3. Match detected items against your product catalog
  4. Calculate confidence scores for each match

Processing typically takes 30-60 seconds depending on document complexity.

4. Review Results

After processing, you'll see:

  • Suggested Products: Products from your catalog that match the document specifications
  • Line Items: Extracted dimensions and quantities for each product
  • Confidence Scores: How confident the AI is in each match

5. Edit and Adjust

Before adding products to your order, you can:

  • Edit products: Replace AI suggestions with different products from your catalog
  • Modify line items: Adjust dimensions, quantities, or other values
  • Flag incorrect items: Remove items that shouldn't be included
  • Drag and drop: Reorganize products and move line items between products
  • Add products: Include additional products from your catalog

6. Add to Order

Click Add Products to Order to insert the AI-generated items into your order form. All products, options, and line items will be pre-populated for you to review and finalize.

Company Context

The AI uses your company's configuration to improve matching accuracy:

  • Measurement Units: The AI respects your Imperial/Metric preferences
  • Product Catalog: Matches are made against your specific products
  • Product Attributes: Extracts values that match your configured attributes
  • Product Options: Suggests appropriate options based on document content

Best Practices

Document Quality

  • Use high-resolution scans (300 DPI minimum for scanned documents)
  • Ensure text and numbers are clearly visible
  • Include units of measurement when possible

File Preparation

  • For CAD files, ensure layers are properly organized
  • For spreadsheets, use consistent column headers
  • For PDFs, text-based files work better than scanned images

Improving Results

  • Provide clear analysis instructions for complex documents
  • Keep your product catalog up to date
  • Review AI suggestions before finalizing orders
  • Use the edit features to correct any mismatches

Limitations

  • File Size: Maximum 10MB per upload
  • DWG Files: Not supported (convert to DXF)
  • Complex Documents: Multi-page documents are analyzed page by page
  • Handwritten Text: May have lower accuracy than printed text
  • Non-English: Best results with English-language documents

Security & Privacy

  • All documents are processed securely via encrypted connections
  • Files are temporarily stored for processing and then deleted
  • Document content is not used to train AI models
  • Company data remains isolated and private
