Quality Control & Inspection

Quality Control (QC) is a critical stage ensuring all orders meet your company's standards before shipping. The QC system provides both a dashboard view for managing multiple orders and a detailed inspection page for individual order review.

Accessing Quality Control

There are two ways to access QC:

  1. Via Order Tracking Dashboard: Shop → Tracking → Quality Control tab
  2. Direct QC Page: Shop → QC (if available in navigation)

Both methods provide the same functionality.


QC Dashboard

The QC Dashboard displays all orders in the "Inspection" status, ready for quality review.

Dashboard Features

Search Bar:

  • Search by Order ID
  • Search by Customer Name
  • Search by PO Number

Status Filter:

  • All Statuses
  • Pending
  • In Progress
  • Completed
  • On Hold

Table Columns (Desktop):

Due Date Indicators

  • ⚠️ Orange Warning - Due date not set
  • 🔴 Red Alert - Order is overdue
  • Standard display for orders on schedule

Mark Complete from Dashboard

You can mark simple orders complete directly from the dashboard:

  1. Click the ✓ checkmark icon
  2. Review the confirmation modal showing the order number
  3. Click "Confirm" to complete
  4. Order moves to "Completed" status
  5. Order appears in Shipping Dashboard → Packaging tab

Note: For detailed inspection with line-item verification, use the View Details option.


QC Detail Page

Access the detail page by clicking the eye icon (👁️) on any order in the QC Dashboard.

Page Layout

The QC Detail page displays:

Header Section:

  • Order Number
  • Customer Name
  • Company Name
  • PO Number
  • Current Status (color-coded badge)

Quality Control Section: Expandable panel containing:

  • Line items to inspect
  • Product details
  • Specifications and dimensions
  • Inspection checkboxes

Packaging Section (appears after completion):

  • Package configuration
  • Dimensions and weights
  • Shipping preparation

Performing Inspection

  1. Open the Order: Click the eye icon from the dashboard
  2. Review Header: Verify customer and order information
  3. Expand QC Section: Click "Quality Control" panel if collapsed
  4. Inspect Each Line Item:
    • Review product specifications
    • Verify dimensions and quantities
    • Check quality against standards
    • Mark items as inspected
  5. Complete Inspection: Mark all items as approved

Inspection Checklist

For each line item, verify:

  • ✓ Product matches order specifications
  • ✓ Dimensions are correct
  • ✓ Quantity matches order
  • ✓ Quality meets standards
  • ✓ No visible defects
  • ✓ Ready for packaging

Completing from Detail Page

Once inspection is complete:

  1. Mark all line items as inspected
  2. Order status automatically updates to "Completed"
  3. The Packaging section becomes available
  4. Order is ready for shipping preparation

After QC Completion

When an order passes quality control:

Status Change

  • Status changes from "Inspection" to "Completed"

Available Next Steps

  1. Configure Packaging: Set package dimensions and weights
  2. Shop Rates: Compare carrier shipping rates
  3. Book Shipment: Finalize shipping and generate labels

Packaging Panel

After completion, the Packaging panel appears with:

  • Package breakdown
  • Dimension inputs
  • Weight configuration
  • Freight class (for LTL)
  • Package type selection

Location Filtering

When viewing from the Order Tracking Dashboard:

  • QC list respects the selected location filter
  • "All Locations" shows QC orders across all fulfillment centers
  • Specific location shows only orders for that shop

Mobile Experience

The QC system is fully responsive:

Dashboard:

  • Simplified columns (Order ID, Customer, Actions)
  • Touch-friendly action buttons
  • Swipe navigation

Detail Page:

  • Stacked layout for readability
  • Expandable sections
  • Mobile-optimized forms

The QC Detail page header shows:

Best Practices

Efficient QC Workflow

  1. Batch processing - Review similar orders together
  2. Use search - Find specific orders quickly
  3. Check due dates - Prioritize overdue orders
  4. Document issues - Add notes for any problems found

Quality Standards

  1. Define criteria - Establish clear pass/fail standards
  2. Train inspectors - Ensure consistent reviews
  3. Track rejections - Identify patterns in quality issues
  4. Continuous improvement - Refine processes based on feedback

Handling Rejections

If an order fails QC:

  1. Document the specific issues
  2. Contact production if rework is needed
  3. Update order notes
  4. Reschedule inspection after corrections

Troubleshooting

Orders Not Appearing in QC

Check:

  • Order status is "Inspection"
  • Location filter matches order's fulfillment location
  • Order completed all production stations

Can't Mark Complete

Check:

  • You have permission to update orders
  • No validation errors on the form
  • All required fields are filled

Packaging Not Showing

Check:

  • Order status changed to "Completed"
  • Refresh the page after marking complete
  • Ensure proper order status progression
