Inventory Management

TimberCloud Storefront — Product Catalog

The Inventory Management page provides location-based stock tracking for your products and addons. Access it via Shop → Inventory in the main navigation.

Overview

TimberCloud's inventory system tracks:

  • Product Option Inventory - Stock levels for product variations (colors, sizes, materials)
  • Product Addons - Inventory for add-on items customers can purchase
  • Multi-Location Stock - Separate inventory levels per fulfillment location

Dashboard Layout

Header Section

The inventory page header displays:

  • Title: "Inventory Management"
  • Description: Location-based inventory tracking and management system
  • Location Selector: Filter by specific location or view all

Metrics Overview

Three key metrics cards show at-a-glance statistics:

Location Selector

At the top right, choose your inventory view:

All Locations

  • Shows combined inventory across all fulfillment locations
  • Aggregates stock from multiple warehouses/shops
  • Blue info banner indicates "All Locations" mode

Specific Location

  • Filters to a single location
  • Shows inventory assigned to that fulfillment center
  • Displays location details (name, address)

Note: If no locations are configured, you'll see a prompt to create shop locations in Settings → Company → Locations.


Search & Filtering

Search Bar

Search inventory by:

  • Product/option name
  • Category name

Filter Options

Stock Level Filter:

Sort Options:

Category Filter:

  • All Categories (default)
  • Specific category (dynamically populated)
  • "Product Addons" category for addon items

View Mode

Toggle between display modes:

  • Grid View - Card layout for visual browsing
  • Table View - List layout for detailed information

Inventory Grid

Each inventory item displays as a card showing:

Card Information

Product Options:

  • Option name and category
  • Stock levels per inventory field
  • Location-specific quantities
  • Low stock warnings

Product Addons:

  • Addon name
  • Current stock level
  • Price information
  • Low stock indicator (< 10 units)

Low Stock Indicator

Items are flagged as low stock when:

  • Product options: Below their configured threshold
  • Product addons: Stock is below 10 units

Visual indicators:

  • 🔴 Red badge for low/out of stock
  • Warning icons on affected items

Item Detail Modal

Click any inventory card to open the detail modal:

Modal Contents

  • Item Name - Full product option or addon name
  • Category - Parent category
  • Variants List - All inventory records for this item

Variant Information

For each variant/record:

  • Location name
  • Inventory field name
  • Current stock level
  • Low stock threshold
  • Last updated date
  • Stock status indicator

Actions

From the detail modal you can:

  • View complete stock history
  • See location-specific quantities
  • Identify which locations need restocking

Data Sources

Product Option Inventory

Tracks inventory for product variations defined in your catalog:

How It Works:

  1. Products have attributes (like "Wood Type" or "Color")
  2. Attributes have options (like "Oak", "Maple")
  3. Each option can track inventory per location and inventory field

Inventory Fields: Inventory fields are custom measurements you define, such as:

  • "Quantity"
  • "Square Feet"
  • "Linear Feet"
  • "Weight"

Configuration: Set up product inventory tracking in:

Product Addons

Addons are standalone items customers can add to orders:

  • Tracked separately from product options
  • Simple quantity-based inventory
  • Grouped under "Product Addons" category

Pagination

For large inventories:

Items Per Page:

  • Select 12, 24, 36, 48, or 60 items
  • Adjustable via dropdown

Navigation:

  • Page numbers for direct navigation
  • Previous/Next buttons
  • Current page indicator

Item Count: Shows "Showing X-Y of Z items"


Inventory Workflow

Receiving Stock

  1. Purchase orders received at location
  2. Stock levels updated via receiving process
  3. Inventory automatically reflects in dashboard

Depleting Stock

  1. Orders placed consume inventory
  2. Stock deducted when order is confirmed
  3. Low stock alerts trigger at threshold

Transferring Stock

For multi-location operations:

  • View stock levels per location
  • Plan transfers between locations
  • Track consolidated inventory

Each fulfillment location maintains:

  • Independent stock levels
  • Separate low stock thresholds
  • Location-specific inventory records

Viewing Options

All Locations:

  • Shows total combined stock
  • Aggregates across all locations
  • Useful for overall inventory health

Single Location:

  • Filters to one fulfillment center
  • Shows only that location's stock
  • Useful for location management

Best Practices

Maintaining Accurate Inventory

  1. Regular audits - Periodically verify physical vs. system counts
  2. Prompt updates - Record stock changes immediately
  3. Use receiving - Process all incoming stock through the system
  4. Set thresholds - Configure appropriate low stock alerts

Managing Low Stock

  1. Monitor alerts - Check the Low Stock Items metric daily
  2. Prioritize reorders - Address critical items first
  3. Lead time awareness - Reorder before hitting zero
  4. Seasonal planning - Adjust thresholds for peak periods

Multi-Location Strategy

  1. Balance stock - Distribute inventory appropriately
  2. Central visibility - Use "All Locations" for overview
  3. Location focus - Drill into specific locations for management
  4. Transfer planning - Move stock between locations as needed

Troubleshooting

No Inventory Showing

Check:

  • Products have inventory tracking enabled
  • Inventory fields are configured
  • Stock has been added to the system
  • Location filter isn't hiding items

Location Selector Not Appearing

Check:

  • Shop locations are configured in Settings → Company → Locations
  • Locations have "Shop" type enabled
  • You have permission to view locations

Stock Levels Incorrect

Check:

  • Recent orders have been processed
  • Receiving has been completed
  • No pending adjustments
  • Manual adjustments are recorded

Low Stock Not Alerting

Check:

  • Low stock thresholds are set
  • Threshold values are appropriate
  • Filter is not hiding low stock items
